Corporate event logistics

Corporate event logistics — Tonga

Logistics is the part you only notice when it is missing: equipment arriving late, a badge nowhere to be found, a blocked aisle. A precise schedule and one person dedicated to coordination prevent most surprises. On Helplease, you describe your needs and the workers offering this service in Tonga are notified of your request.

What the service covers

• transport and handling of equipment;
• build and set-up on site;
• coordinating suppliers and timings;
• managing flows and reception;
• dismantling and returning the equipment.

Depending on the agreement, the service can include the logistics plan, transport, the build, coordination on the day, handling the unexpected, dismantling and returning the equipment.

Key points

Build, loads and circulation

Structures, gantries, screens and lighting are assembled per the instructions, weighted or anchored, and nothing heavy is fixed overhead without a rigging point designed for it. Loads are carried by two people and the build happens before the public arrives, never in the middle of a crowd. Aisles stay usable, and stored equipment blocks neither an exit nor emergency access.

Capacity, exits and set-up

The number of participants stays within the venue's capacity, and fire exits, corridors and extinguishers stay clear at all times. Cables crossing a walkway are protected, extension leads are not daisy-chained and equipment is plugged into a suitable circuit. Food allergies are given in advance, and the sound level stays reasonable for everyone.

What affects the price

• number of participants;
• length of the event;
• venue and logistics;
• equipment and services included;
• preparation beforehand.

The rate is agreed with the worker based on these elements.
